HR Assistant | Remote

The administrative tasks and services performed by the human resource assistant will contribute to the smooth operation of the human resources division. This entails supervising the doctors on duty, setting up procedures, and integrating new doctors who come on time. Additionally, the employment will necessitate pre-scheduled standby times on the weekends and at night, leading to variable working hours within the week.

Duties

  • Keep up-to-date and accurate documentation, records, and files for the human resources unit.
  • Answer frequently asked questions about typical policies, benefits, hiring procedures, etc., from prospective doctors and employees; refer complicated inquiries to the relevant senior HR personnel or management.
  • Maintain the confidentiality and integrity of records and information related to human resources
  • Conduct routine audits of HR records and files to make sure that all necessary paperwork is gathered and properly filed
  • Give the HR department administrative support for its daily operations
  • Conduct or aid with the hiring and orientation of new physicians
  • Assist with routine doctor support tasks
  • Help to organize and carry out special events such as benefits enrollment, company-wide meetings, employee recognition activities, and holiday parties.
  • Actively manage and assume responsibility for doctor scheduling and ensure that all scheduled doctor appointments are assigned to an available doctor.
  • Keep an eye on and help doctors while they are on call
  • Distribute unscheduled digital visits to accessible doctors while they are on standby
  • Perform further tasks as directed

Qualifications

  • Outstanding written and verbal communication abilities in both German and English
  • Strong interpersonal skills with the capacity to handle delicate and private issues with diplomacy, professionalism, and tact
  • Excellent planning and detail-oriented abilities
  • Ability to use the Microsoft Office Suite and related programs with ease
  • Knowledgeable of, or quick to pick up on, human resource information systems (HRIS) and related computer programs (HubSpot, Internal Admin Tools, etc.)
